The Role

We’re looking for a highly organised, proactive, and collaborative Executive Assistant & Production Coordinator to support our Founder & CEO and help lead the coordination and execution of our partnerships, events, and key programs.

This is a hybrid role for someone who thrives on making things happen — managing details, people, and timelines — while being part of a purpose-led, fast-moving team.

Key Responsibilities

Executive Support

  • Manage the Founder & CEO’s calendar, inbox, and meeting prep

  • Coordinate travel, accommodation, and day-to-day administrative needs

  • Prepare decks, agendas, meeting notes, and follow-ups

  • Act as a liaison between the Founder and internal/external stakeholders

Project & Production Management

  • Track partner deliverables and timelines, and coordinate follow-ups

  • Own partner onboarding processes, including schedules and documents

  • Support in preparing reports, contracts, and updates to partners

  • Ensure clear communication with internal and external collaborators

  • Coordinate project timelines and deliverables across events and campaigns

  • Manage logistics for mentorship programs, community events, and workshops

  • Liaise with freelancers, venues, and vendors

  • Keep files, documents, and shared systems organised and up to date

  • Help everything run smoothly — from planning to execution


About You

  • 2–4 years’ experience in project coordination, executive support, or event/production roles

  • Highly organised, detail-oriented, and dependable

  • A confident communicator in both Danish and English (spoken and written)

  • Skilled in writing and editing professional materials — from funding applications to partner decks and reporting

  • Comfortable representing The Soulfuls’ tone, mission, and values across internal and external communication

  • A natural community-builder who values meaningful relationships with mentees, mentors, and collaborators

  • Proactive, solution-oriented, and calm under pressure

  • Able to manage multiple projects and shifting priorities with clarity and care

  • Passionate about inclusion, cultural representation, and driving social impact through creativity and structure

Salary & Hours


This is a full-time position.

Salary: DKK 36.000 per month

The role is based in Copenhagen.
