The Role
We’re looking for a highly organised, proactive, and collaborative Executive Assistant & Production Coordinator to support our Founder & CEO and help lead the coordination and execution of our partnerships, events, and key programs.
This is a hybrid role for someone who thrives on making things happen — managing details, people, and timelines — while being part of a purpose-led, fast-moving team.

Key Responsibilities
Executive Support
Manage the Founder & CEO’s calendar, inbox, and meeting prep
Coordinate travel, accommodation, and day-to-day administrative needs
Prepare decks, agendas, meeting notes, and follow-ups
Act as a liaison between the Founder and internal/external stakeholders
Project & Production Management
Track partner deliverables and timelines, and coordinate follow-ups
Own partner onboarding processes, including schedules and documents
Support in preparing reports, contracts, and updates to partners
Ensure clear communication with internal and external collaborators
Coordinate project timelines and deliverables across events and campaigns
Manage logistics for mentorship programs, community events, and workshops
Liaise with freelancers, venues, and vendors
Keep files, documents, and shared systems organised and up to date
Help everything run smoothly — from planning to execution
About You
2–4 years’ experience in project coordination, executive support, or event/production roles
Highly organised, detail-oriented, and dependable
A confident communicator in both Danish and English (spoken and written)
Skilled in writing and editing professional materials — from funding applications to partner decks and reporting
Comfortable representing The Soulfuls’ tone, mission, and values across internal and external communication
A natural community-builder who values meaningful relationships with mentees, mentors, and collaborators
Proactive, solution-oriented, and calm under pressure
Able to manage multiple projects and shifting priorities with clarity and care
Passionate about inclusion, cultural representation, and driving social impact through creativity and structure

Salary & Hours
This is a full-time position.
Salary: DKK 36.000 per month
The role is based in Copenhagen.
